2026 Meeting Host RFP

GBTA–Rocky Mountain Chapter brings travel industry suppliers and buyers together for professional development, networking opportunities, and the exchange of ideas,  all of which drive powerful results. We truly value and appreciate the commitment involved in serving as a host venue for our chapter meetings and events.

The requirements listed below are essential for consideration. We’re also happy to talk through any additional details to make the event cost-effective for both your venue and the GBTA–Rocky Mountain Chapter.

Once selected, GBTA–Rocky Mountain Chapter will actively support and promote your venue through our social media and marketing efforts.

GBTA–Rocky Mountain Venue Hosting Requirements


Happy Hour Networking Meeting

Time: 4:00 PM – 6:00 PM

Setup

  • Cocktail rounds (Estimated 35–60 attendees)
  • One (1) registration table with two (2) chairs and a wastebasket

Food and Beverage

  • $25.00 per person — 2 drink tickets (beer/wine/soft drinks) + light appetizers

Audio-Visual Requirements (complimentary)

  • Podium

  • Microphone

  • Screen and projector with laptop connection

  • Wi-Fi access

Event Format

  • 4:00–6:00 PM: Networking
  • 4:45-5:15 PM : Chapter and/or sponsor remarks 

Additional Requirements

  • Parking fee waived. If waived parking cannot be offered, please provide discounted parking cost.

Monthly Chapter Meeting Educational Luncheon

Time: 11:00 AM – 1:30 PM

Setup

  • Crescent rounds (Estimated 35–60 attendees)

  • One (1) registration table with two (2) chairs and a wastebasket

Meal

  • $30.00 per person — Non-Negotiable (Inclusive of tax, service fee, etc.)

Audio-Visual Requirements (complimentary)

  • Podium

  • Microphone

  • Screen and projector with laptop connection

  • Wi-Fi access

Meeting Format

  • 11:00 AM – 12:00 PM: Registration & Networking

  • 11:45 AM: Chapter Affairs (15–30 minutes)

  • 12:00 – 1:00 PM: Keynote Speaker Program 

  • 1p-1:30p – Event Wrap-Up

Additional Requirements

  • One (1) night guest room for speaker/presenter

  • Parking fee waived. If waived parking cannot be offered, please provide discounted parking cost.
